The Nordic Organisation
The Nordic team consist of 28 people in total in sales, marketing, medical and finance and is expected to grow over the coming years. The Nordic organisation has a clear focus on two therapy areas – Oncology and Neurology (epilepsy). The Sales & Marketing team is led by the Sales & Marketing Director and consists of two Marketing Managers, three Regional Sales Managers, twelve Key Account Managers and one Sales & Marketing Assistant.

Sales & Marketing Assistant Nordics

We are looking for a skilled professional for the role as Sales- and Marketing Assistant in the Nordic organisation. The position offers a broad responsibility supporting the Nordic Sales and Marketing teams with a variety of tasks.

• Marketing/promotional projects; Assist, support and coordinate projects for the Nordic region, interactions with agencies, circulate and track materials in the approval system, monitor stock-levels of promotional items, re-ordering etc.
• Meetings: source and liaise with venues, arrange materials – both internal and external meetings, including attending specific meetings
• Finance: Process payment requests for customers, agencies and service providers, track account and log invoices, assist Marketing Manager with follow up on promotional spending, processing contracts through to payment
• General Administration: e.g. Flight and hotel arrangements for clients, central point of contact for personnel regarding congress organization, marketing-initiated customer meetings, administration requests from KOL’s, distribution of materials to the Nordic sales teams, processing of materials on the Veeva approval system


The Sales- and Marketing Assistant is key to the Nordic team and will work closely with the Sales & Marketing Director, Marketing Managers and the three Regional Sales Managers based in Denmark, Finland and Sweden. Other important working relationships include;

• Supporting the Nordic Sales & Marketing teams
• Liaising with other departments, such as medical, finance, legal, etc., both locally and at European Headquarters in London
• Liaising with other administration staff internationally
• Contacting agencies, service provider, hotel venues and travel agencies
• Contact point for external providers

Experience and qualifications required:

• PA/Team assistant experience in sales and/or marketing with at least 2 years working experience
• Business awareness
• Excellent office skills, computer literate, used to handle administrative systems/processes
• Excellent Office skills to include Word, Excel, PowerPoint. Adobe Reader and Veeva (desirable)
• Strong demonstrable experience of organising medium to large scale meetings, conferences and exhibitions
• Knowledge of budgetary procedures and understanding in basic expenses
• Pharmaceutical industry experience and understanding of SOPs and local pharma code (desirable)
• Experience working in a product related or marketing environment (desirable)
